Believele is operated by Techno Believe Solutions Ltd (Company number 10866509), registered at 128 City Road, London, United Kingdom, EC1V 2NX (“we”, “our”, “us”). We are the data controller responsible for your personal data.

This Privacy Policy explains how we collect, use, store, and protect your personal information when you use our website (believele.com), web application (app.believele.com), mobile application, and Chrome browser extension (collectively, the “Service”). We are committed to protecting your privacy in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Information We Collect

1.1 Account Information
When you create an account, we collect your email address and display name. If you sign up via a third-party provider (e.g. Google), we receive your name and email from that provider.

1.2 Profile Data
You may voluntarily provide professional information including work experience, education history, skills, certifications, and career preferences. This data is used to personalise CV generation, job matching, and career strategy features.

1.3 LinkedIn Profile Data
When you use our Chrome extension on a LinkedIn profile page, the extension can extract publicly visible profile information including: full name, headline, location, work experience (titles, companies, dates, descriptions), education (schools, degrees, dates), skills, certifications, projects, and languages. This extraction only occurs when you click the extension icon and explicitly choose to import. The extracted data is sent to the Believele web application for storage in your account.

1.4 Job Listing Data
When you use our Chrome extension or manually paste a job description into the app, we process the job title, company name, location, and description text to provide AI-powered analysis and document generation.

1.5 Generated Documents
CVs, cover letters, strategy reports, and other documents created through the Service are stored in your account so you can access, edit, and download them.

1.6 Application Outcome Data
When you use the Application Tracker (Pipeline) feature, we collect the status of your job applications (e.g. saved, applied, interviewing, offered, rejected). When you update an application status to an outcome stage (interviewing, offered, or rejected), we analyse the CV and cover letter associated with that application to identify patterns that contributed to the outcome. This analysis is performed automatically by our AI systems.

1.7 Usage Data
We automatically collect technical information including your IP address, browser type, device type, pages visited, and timestamps. This data is used for analytics, security, and improving the Service.

1.8 Cookies and Local Storage
We use essential cookies to maintain your login session and remember your preferences. We use analytics cookies (such as Vercel Analytics) to understand how the Service is used. The Chrome extension uses browser local storage to cache vocabulary pattern data (for up to 24 hours) to improve parsing speed. You can control cookie preferences through your browser settings.

2. Legal Basis for Processing

Under UK GDPR, we process your personal data on the following legal bases:

  • Contract: Processing your account data, profile information, and generating documents is necessary to provide the Service you have requested (Article 6(1)(b)).
  • Legitimate interest: We process usage data, analytics, anonymised vocabulary patterns, and anonymised application outcome patterns to improve the Service, ensure security, and prevent fraud (Article 6(1)(f)). Our legitimate interest in processing anonymised outcome data is to improve the quality of CVs and cover letters generated for all users — this processing uses only anonymised, aggregated statistical data and does not identify individual users.
  • Consent: Where required, such as for marketing communications, we will obtain your explicit consent (Article 6(1)(a)). You may withdraw consent at any time.

3. How We Use Your Information

We use your information for the following purposes:

  • Providing and maintaining the Service, including AI-powered job analysis
  • Generating tailored CVs, cover letters, and strategy reports
  • Personalising your experience based on your profile and preferences
  • Providing AI career assistant (Bev) responses
  • Tracking your job applications (when you use the Application Tracker feature)
  • Analysing application outcomes to identify successful CV and cover letter patterns (see Section 5)
  • Improving profile parsing accuracy through anonymised vocabulary pattern learning (see Section 4.3)
  • Sending service-related notifications (e.g. account verification, security alerts)
  • Analysing usage patterns to improve and develop new features
  • Ensuring the security and integrity of the Service

We do not sell, rent, or share your personal data with third parties for their marketing purposes.

4. Chrome Extension

Our Chrome extension (“Believele — Job Capture & Profile Import”) operates as follows:

4.1 Job Capture

  • It reads job listing content (title, company, description) from the current webpage only when you click the extension icon
  • When you click “Send to Believele”, the job listing text is transmitted securely via HTTPS to our web application for analysis
  • No data is sent unless you explicitly click the send button

4.2 LinkedIn Profile Import

  • When you visit a LinkedIn profile page and click the extension icon, the extension reads publicly visible profile information from the current page
  • This extraction only occurs when you click the extension icon — the extension does not run in the background or monitor your browsing
  • When you click “Enrich & Import to Believele”, the extension may visit LinkedIn detail pages in the same tab to collect complete information, then sends the full profile to the Believele web application
  • The profile data is transmitted via a secure URL fragment (not sent to any server other than the Believele web application running in your browser)

4.3 Vocabulary Pattern Learning

  • After a profile import, the extension sends anonymised vocabulary patterns (such as job titles, skill names, university names, and degree types) to our API to improve parsing accuracy for all users
  • This data is anonymised — no names, personal identifiers, or contact information are included in the patterns
  • The extension caches a vocabulary knowledge base locally in browser storage (for up to 24 hours) to speed up future parsing

4.4 General

  • The extension does not track your browsing history, intercept other websites, or collect data in the background
  • All data transmission uses HTTPS encryption
  • The extension communicates only with believele.com and app.believele.com

5. Pattern Learning Engine

The Service includes a Pattern Learning Engine that analyses the outcomes of your job applications to improve future CV and cover letter generation. This section explains how it works:

5.1 What We Analyse

  • When you update a job application status in the Pipeline to “Interviewing”, “Offered”, or “Rejected”, we automatically analyse the CV and cover letter you used for that application
  • The analysis evaluates factors such as: keyword match rate, use of quantified achievements, action verb strength, summary style, cover letter opening type, personalisation level, and career progression framing
  • This analysis is performed by our AI processor (OpenAI) and the results are stored in your account

5.2 Per-User Patterns (Your Data)

  • The detailed analysis results — including winning phrases, weak spots, and factor scores — are stored in your personal account and are only accessible to you
  • These personal patterns are used to improve future CVs and cover letters generated specifically for you
  • You can view your patterns on the Pattern Intelligence page within the app

5.3 Anonymised Global Patterns (Shared Data)

  • We also extract anonymised, aggregated statistical data from application outcomes — for example, “CVs with a results-based summary style have a 75% interview rate in the technology industry”
  • This aggregated data contains no personal information, no CV content, no cover letter text, and no identifying details — only statistical factor scores
  • This anonymised data is shared across all users to improve CV and cover letter generation quality for everyone
  • You cannot be identified from the global pattern data

5.4 Automated Decision-Making

  • The Pattern Learning Engine uses automated processing to analyse your documents and application outcomes. This analysis is used to provide recommendations and improve document generation — it does not make any decisions that have legal or similarly significant effects on you
  • You may request human review of any automated analysis by contacting us at support@believele.app
  • You may opt out of the Pattern Learning Engine by not using the Pipeline status tracking feature — pattern analysis is only triggered when you manually update an application status

6. Third-Party Service Providers

We use the following third-party services to operate the Service:

  • Supabase (database and authentication) — stores your account data, profile, documents, and application tracking data. Hosted on AWS in the EU (Ireland).
  • OpenAI (AI processing) — processes job descriptions, profile data, CV/cover letter content, and application outcome data to generate analysis, documents, and pattern insights. Data sent to OpenAI is not used to train their models.
  • Vercel (web hosting and serverless functions) — hosts the web application and API proxy.
  • Google (authentication and analytics) — provides Google Sign-In and Google Analytics.
  • LinkedIn — the Chrome extension reads publicly visible profile data from LinkedIn pages when you explicitly choose to import.

No personal data is transferred outside the UK/EEA except to OpenAI (US) and Vercel (US), both of which operate under appropriate safeguards including Standard Contractual Clauses.

7. Data Retention

  • Account data: Retained for as long as your account is active. Deleted within 30 days of account deletion.
  • Profile and documents: Retained for as long as your account is active.
  • Application tracking data: Retained for as long as your account is active.
  • Personal pattern analysis: Retained for as long as your account is active. Deleted when your account is deleted.
  • Anonymised global patterns: Retained indefinitely as they contain no personal data.
  • Vocabulary patterns: Anonymised patterns are retained indefinitely.
  • Usage and analytics data: Retained for up to 24 months.

8. Data Security

  • All data is encrypted in transit using TLS/HTTPS
  • Data at rest is encrypted using AES-256 (via Supabase/AWS)
  • API credentials are stored server-side only and are never exposed in browser code
  • Row-level security policies ensure users can only access their own data
  • Authentication tokens are verified on every API request

9. Your Rights

Under UK GDPR, you have the following rights:

  • Right of access: Request a copy of the personal data we hold about you
  • Right to rectification: Request correction of inaccurate or incomplete data
  • Right to erasure: Request deletion of your personal data
  • Right to restrict processing: Request that we limit how we use your data
  • Right to data portability: Request your data in a structured, machine-readable format
  • Right to object: Object to processing based on legitimate interest, including the Pattern Learning Engine’s anonymised global aggregation
  • Rights related to automated decision-making: Request human review of automated analysis (see Section 5.4)

10. Children’s Privacy

Believele is not intended for users under 18 years of age. We do not knowingly collect information from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes through the Service or by email.
